Important Tech Tips For Planners
Tuesday, February 21st, 2012There are a few things that duct tape can’t fix.
Does this sound all to familiar? You are at the conference center and the meeting room is full. The fans is engaged. The presentation is on a roll…and then it happens. The projector goes out. And so does the momentum of your meeting, depending on how long it requires to sort the problem. These are some techniques to make certain technology issues don’t halt or delay the start of your next meeting :
* Ask if technology audits are performed for each start-up to test for things like projector bulb lamp hours ( so you know if it is approaching the end of its lifespan ).
* If the location has wireless Web access, ask for connection instructions and a map of hotspots. Share the data with your attendees. They’ll thanks for it!
* Have you got access to a printer? If that is so ask for neighborhood printing info.
* Let A / V know exactly how many presenters there’ll be and prepare for A / V to be there for each start-up to ensure a seamless transition.
* As well as checking lightness of the projection display, find out how to adjust lighting in-room so display can be simply seen from anywhere in the room. If there are window treatments, find out how to open / close them.
* Would you like music in the room before meeting starts or during breaks? Ask A / V if they have music to selected from or if you want to bring your own.
* Using a DVD player or VCR? Be certain it’s hooked successfully running. Also be sure you understand how to toggle backwards and forwards from projection to DVD player or VCR.
* Issues connecting to audio? Ensure you’re hooked up to the headphone port, not the microphone port.
* Feedback or squealing sound coming from microphones? Before adjusting dials, be sure you are standing behind the speakers. Feedback or squealing could simply be as you were in front of the speakers.
* Get to grips with the wireless RC prior to starting your display. Ask for additional set of batteries as back-up in case.
By arriving some way in advance of your event, you may have masses of time to run through this technology list. Not only will you be well placed to avoid potential technological problems, you’ll be more comfortable with your environment which will make you feel assured, collected and prepared to supply a winning show.
